Manage Materials

6.8.2026

This guide explains how to add, share, and manage files in the Materials view.

Go to Materials

  1. Sign in to the learning environment.
  2. Open the Materials view from the left-hand navigation.

You can add files through the Materials view and then use them in courses (Add File > Materials). Files added directly to a course are also available in the Materials view. The Used in column shows where a material is currently being used.

Add a new file

  1. Click Upload files
  2. Select one or more files from your device.
  3. Optionally define the file name, alternative text, tags, and sharing settings.
  4. Click Save.

Share a file

You can share files in two different ways.

Option 1: Share a single file

  1. Open the file details by clicking Settings.
  2. Select the courses, groups, and users you want to share the file with.  Alternatively, select Shared with everyone.
  3. Click Save.

Shared with Everyone means that the file is visible to all users in the environment. Use this option carefully.

Option 2: Share multiple files at once

  1. Select one or more files by ticking the checkbox next to the file name.
  2. Click Share material.
  3. Select the courses, groups, and users you want to share the files with.
  4. Click Share material.

Upload a new version of a file

  1. Open the file details by clicking Settings.
  2. Click Upload New Version.
  3. Select the new file from your device.
  4. Click Save.

Search materials

  • Use the Search field to find files by name.
  • You can also use filters to refine your search:
    • File Type – Filter materials by file type, such as images.
    • Tag – Find files related to a specific topic if tags are enabled and have been added to the material.
    • Used in – View files that are not currently in use or files used in a specific course.
Ownership – View your own files, files shared with you, or files whose ownership has been transferred to you.

Note

  • The maximum file size is between 400 MB and 1 GB, depending on the environment. If a media service is enabled, the maximum size for a video file is 4 GB.
  • Whenever possible, we recommend linking videos from services such as YouTube, Vimeo, or DreamBroker instead of uploading them directly.
  • Only the file owner can delete a shared file.
  • You can make files easier to find by adding tags. Tags can also be used to create material overview pages.
  • Materials shared with a course can be used by Course Administrators and Content Creators.
  • The file version history is retained when you update a file using Upload New Version.
